Activate PEPPOL in PERIFACT

FOR THE BELGIAN MARKET: With PEPPOL allows you to send invoices directly and securely to your customers through an internationally recognized network. The advantage of this is that your invoices no longer have to be sent via email, but arrive directly and reliably in your customer's system.

To use PEPPOL in PERIFACT go through the step-by-step plan below once. You will need a free account at PEPPYRUS.BE, the service provider that issues the digital key (API key). You then link this key to PERIFACT, after which you can offer invoices directly through the PEPPOL network.


Activate PEPPOL roadmap

  1. Create a free account with PEPPYRUS
    • Go to www.peppyrus.be and register your organization.
    • This costs nothing and is a requirement to obtain a PEPPOL key.
  2. Complete the verification at PEPPYRUS
    • During registration, PEPPYRUS asks for your company and identity information (such as Chamber of Commerce number and passport/ID).
    • This verification is done entirely at PEPPYRUS, that is, outside of PERIFACT.
  3. Get your digital key (API key)
    • Upon approval, PEPPYRUS provides access to your personal API key.
    • This is the key you need to connect PERIFACT to PEPPOL.
  4. Enter the API key at PERIFACT
    • Open PERIFACT and go to Main menu → Settings → PEPPOL.
    • Follow the instructions and paste your API key into the appropriate field.
    • As of this moment, PEPPOL is activated and you can send invoices over the network.

Ready to use

After this one-time activation, when creating an invoice, the option automatically appears in PERIFACT PEPPOL next to Email, Print and PDF. This allows you to send your invoice securely and directly through the PEPPOL network at the touch of a button.

WHAT IS AN XML FILE?

Okay, imagine you want to send an invoice - normally you would create a PDF or a paper invoice that looks neat to humans. But computers can't just “understand” what's in that PDF, because to them that's just an image with text.

A PEPPOL XML file is something quite different. It's not a fancy invoice to read, but a structured data file specifically designed for computer-to-computer communicate.

Simply put: A PEPPOL XML is a digital invoice in a fixed, international “language” that computers can read and process directly. Below is a small portion from such an XML file:

I DON'T SEE ANY PDF IN PEPPYRUS?

PEPPOL is intended to be a complete digital exchange method for invoices, where the data are in a fixed, standardized structure that can be read directly by computers (this is done with a so-called XML file).  A PDF is purely for human readability, not for the shipping itself.

You can enclose the PDF turn on from PERIFACT V22.8 in main menu SETTINGS - BASIC, [PEPPOL] tab.

HOW CAN I TELL IF AN INVOICE WAS SENT SUCCESSFULLY?

In the invoice screen of PERIFACT if you press the 'PEPPOL send button' there a message comes up that the invoice was successful offered is to the PEPPOL network. But offered is not yet 100% processed, which can take several seconds.
Want to check the current status? Then in PERIFACT, go to the main menu PEPPOL and click on VERVERS, if necessary.
If the invoice in the SENT-folder, it has actually been sent, unless shortly thereafter it is still in the FAILED-folder. This can happen with a slight delay: sometimes an invoice is first in SENT and a little later still in FAILED.
